JB Services — Disclaimer & Information-handling Addendum
1. Application and interpretation
In this Addendum “JB Services”, “we”, “us” or “the Company” means JB Services and its controlled entities within the JB Services group. This Addendum supplements any other terms and conditions that apply to the provision of JB Services’ products and services and applies to all services offered by JB Services, including but not limited to: repair and assistance services, dance classes, Basestep classes, wedding dance lessons, event facilitation, contract, consultancy and any other goods or services we provide.
2. Charges arising from incorrect or incomplete information
- The customer must provide complete and accurate information when making a booking or requesting services (including but not limited to: contact details, service location and access information, nature and quantity of items or equipment, health and safety requirements, participant numbers for classes, scheduling constraints, and any special handling or assistance needs).
- If JB Services incurs delays, complications, additional labour, travel time, equipment or materials costs, or other additional expenses because the customer supplied inaccurate, incomplete or misleading information, JB Services may charge the customer for those additional costs. The Company will determine the additional costs reasonably and in good faith and notify the customer of any charge.
- The Company is not liable for any inconvenience, loss or consequential costs that arise from incorrect or incomplete information supplied by the customer.
3. Customer responsibilities
It is the customer’s responsibility to:
- ensure information provided at booking and before service delivery is accurate and up to date;
- advise JB Services promptly of any change to booking details or service requirements; and
- provide any access, permits or consents reasonably required for JB Services to perform the services safely and on schedule.
4. Scope of personal information collection
To provide services and manage bookings, JB Services collects personal information about customers, prospective customers, students/participants and contractors. The types of personal information typically collected include:
- identity and contact information (name, postal address, email, telephone);
- service-specific information (booking details, class enrolment, attendee numbers, health or accessibility needs relevant to participation or safety);
- payment and billing information (transaction reference, invoicing details);
- employment-related information where relevant (e.g. for pre-employment checks or contractor onboarding); and
- records of communications (email, phone notes, service feedback, complaints).
5. Purposes for which personal information is used
We use personal information for lawful purposes directly related to our functions and activities, including:
- to confirm and fulfil bookings and to deliver the services requested (repairs/assistance, classes, lessons, events);
- to verify identity and undertake necessary pre-employment or contractor checks;
- to process payments, manage invoicing, and handle debt collection; We do not store personal banking or credit card details. Electronic Payments are conducted via 3rd party providers like Stripe and Hnry. They have their own regulatory compliance in place.
- to communicate with you about bookings, scheduling, cancellations, changes and service updates;
- to administer class enrolments, attendance and safety requirements;
- to improve and tailor our services, quality control and training (including anonymised research and statistical analysis); and
- to meet legal or regulatory obligations or to protect our legal rights.

6. Disclosure — limited to the JB Services group
- Personal information collected by JB Services will be disclosed only to entities within the JB Services group for the purposes described above (for example: group administration, scheduling, finance, training, and safety management).
- JB Services does not disclose personal information to unrelated third parties for their own marketing use unless we have your express consent or are required to do so by law.
- Where a disclosure outside the JB Services group would be necessary (for example, to comply with a statutory requirement or to protect health and safety), we will either obtain your consent (where practicable) or rely on a lawful basis under the Privacy Act 2020. 7. Methods of disclosure and handling
Personal information may be shared internally within the JB Services group by secure means necessary to fulfil the purposes above. Typical methods of internal disclosure include:
- secure email communications between authorised staff;
- access within password-protected administrative systems (for bookings, class management, accounting); and
- where needed, limited printed records held by authorised staff for operational purposes (kept securely).
We document who within the group has access and ensure access is given only on a need-to-know basis for legitimate operational purposes.
8. Security practices
We take reasonable steps to safeguard personal information against loss, unauthorised access, modification or disclosure. Our security measures include (as applicable):
- restricted access controls and user authentication for internal systems (unique user accounts and passwords, role-based access);
- encryption in transit (e.g. TLS/HTTPS) for web-based forms and communications;
- physical security for any paper records (locked away and with restricted access);
- regular software updates and security patching; and
- staff training on privacy obligations, data handling and breach-reporting procedures.

9. Retention and deletion
We retain personal information only for as long as necessary to provide the services, to meet legal or accounting requirements, or to resolve disputes. When information is no longer required, we will take reasonable steps to securely delete or anonymise it.
10. Rights of access and correction
You have the right to request access to personal information we hold about you and to request correction of that information where it is inaccurate, incomplete or out of date. To make such a request, please contact us by email. We will require reasonable evidence of identity before fulfilling access or correction requests. - Nothing in this Addendum limits or excludes any rights you may have under applicable law.
- JB Services reserves the right to amend this Addendum from time to time; any material changes will be published on our website.
